I posted an insurance check to the wrong payer. How do I fix this?

The guide covers two common scenarios: when the ERA has already been posted and the check has been closed, and when the ERA has been posted but the check remains open. You'll learn how to reopen or delete the associated check, unpost the ERA, assign the correct payer, repost the ERA, and close the check to ensure accurate reporting and patient ledger balances.
Note: If you are working with a manually entered insurance check or EOB (not an ERA), the check must be deleted and re-entered under the correct payer.
Scenario 1: ERA was posted and the check has already been closed
Step 1: Reopen the Insurance Check
- Navigate to Billing > Claims Center > EOB-Payments.
- Select the Closed Checks filter.
- Enter the check number (or the last four digits) and click Search.
- Locate the check and select the checkbox beside it.
- Click Revert.
Step 2: Delete the Reopened Check
- Select the Open Checks filter.
- Locate the check.
- Select the checkbox beside the check.
- Click Delete.
Important: Deleting the check is required before unposting and reposting the ERA. Failure to do so can result in duplicate claim entries.
Step 3: Unpost the ERA
- Navigate to the ERA tab.
- Select the Posted Checks filter.
- Click Clear if necessary to remove the date range filter.
- Search for the ERA using the check number.
- Select the ERA.
- Click Unpost.
The ERA will move to the Unposted filter.
Step 4: Repost the ERA to the Correct Payer
- Select the Unposted filter.
- Locate the ERA.
- Choose the correct insurance payer from the Insurance Payer dropdown.
- Click Post.
Step 5: Review and Close the Check
- Review the reposted check for accuracy.
- Make any necessary adjustments.
- Close the check.
Scenario 2: ERA was posted to the wrong payer, but the check is still open
Step 1: Delete the Open Check
- Navigate to Billing > Claims Center > EOB-Payments.
- Select the Open Checks filter.
- Locate the check and note the check number.
- Select the checkbox beside the check.
- Click Delete.
Step 2: Unpost the ERA
- Navigate to the ERA tab.
- Select the Posted Checks filter.
- Click Clear if necessary.
- Locate the ERA using the check number.
- Select the ERA.
- Click Unpost.
Step 3: Repost the ERA to the Correct Payer
- Select the Unposted filter.
- Locate the ERA.
- Select the correct insurance payer from the Insurance Payer dropdown.
- Click Post.
Step 4: Review and Close the Check
- Verify that the ERA has been reposted correctly.
- Review any claim details as needed.
- Close the check.
